You need the proper communication tools to help you plan, cooperate, and achieve business strategic goals, whether you’re on a team of two or 200,000. Make no mistake: technology is a wonderful thing, but it must be carefully chosen and applied. Instead of having a separate employee intranet, social intranet, project management workspace, text messaging, private chat, mail, a video channel, and so on for internal communication, go with a solution that provides everything you need in one location.

This reduces uncertainty and increases the likelihood that your employees will use the resources available to them. But which tools are truly essential, and how to use their full capacity?

How to Use Microsoft Software to Its Full Capacity in Business Communication

Microsoft Teams – What Is It?

Microsoft has always been a key player in the technical operations and productivity of businesses. It has established itself as a champion in business communication services with the launch of Teams and associated technologies. Microsoft Teams integrates seamlessly with other Office 365 products as well as a wide range of popular business apps from third-party developers (Google workspace, Cisco WebEx, Slack).

As a consequence, you can easily integrate Teams into your existing operations. Customer records, for example, may be retrieved and discussed during conversations or meetings. The same may be said for operations, human resources, and other data.

Using Main Features

These are the key features of Microsoft Software:

1. Voice calls

Voice calls may be made using the cloud-based application. Users can make voice-over-IP calls to other users of the program. They can make, receive, and transfer calls between landlines and mobiles with ease. Many companies can help you improve call quality, in order to make your communication more efficient. Enterprise-grade call capabilities and voicemail service are among the other calling options.

2. Messaging chat

A chat-based workspace featuring persistent and threaded chats, as well as individual and group messaging. Messages may include GIFs and emoticons, the same as other texting apps. Users may also make video and voice calls in groups and one-on-one.

3. Online meetings

This tool improves business meetings, communication, and training by allowing up to 10,000 individuals to participate. People from both within and outside the company can participate in online meetings. A note app, in-meeting chatting, file uploading, and scheduling are all included in this function.

4. Video meetings

In addition to voice conversations, users may hold video meetings. The use of video conferencing has expanded as a result of the COVID-19 epidemic since most firms collaborate remotely. Recording, whiteboarding, customizable backdrops, breakout screens, and transcribing are all important elements of video meetings.

5. Screen sharing

Although this is a common function, it is still highly important for organizations. During Teams audio or video sessions, participants may share their desktop displays and files in real-time.

6. File sharing

This is a fantastic feature of Teams that allows distant teams to create, save, modify, and share files within the program. Users may interact and co-author in real-time.

7. Webinars

Teams may host up to 1,000 people in interactive webinars and meetings. The webinar has host moderation tools, which disable the voice and video of attendees, as well as live user replies. Over 10,000 people can see the view-only stream.

8. External collaboration

Microsoft Teams allows users to invite others from outside the company to collaborate with them. The guest access function aids in the administration of business-to-business projects.

How to Use Microsoft Software to Its Full Capacity in Business Communication

Why Should You Use It

Whether you own or work for a large corporation or a small business with clients across the county or state boundaries – or even international borders – the chances are that you will have to travel for work. Sadly, business travel can be costly both financially and in terms of productivity – and those expenses may skyrocket if planes are canceled, delayed, or redirected.

Business travel has an impact on your company, but it also has an impact on your workers by exposing them to chronic jet lag, unsafe amounts of radiation, weakened immune systems, and disrupted family lives — all because you or your team wants to meet with a client.

Of course, some face-to-face meetings are necessary, but when they aren’t, this communication solution lets you see and hear the clients even if you’re thousands of miles distant. Yes, video conferencing may help you save money on the trip. It’s gone a long way in the ten years or so since it was first launched, and it might be a real game-changer for your company and clientele.

Teams facilitate cooperation by dividing the firm into multiple channels, teams, and collaboration techniques. MS Teams may be a productive place when you’re using it, and your email can be a relaxing area. Teamwork is essential to success in business, just as it is in sports, thus picking the correct communication software may make or break your company.

The Web Summit has become an unmissable conference for the tech world. The event is coming to Lisbon for the first time in five years and it features a large number of key industry members. Microsoft’s President Brad Smith  will give a keynote speech, also will Internet Bill of Rights’ Ro Khanna, Tinder CEO Jim Lanzone and Amazon Alexa’s Head Tom Taylor, among others, which makes this a must-see event.

Web Summit: The Largest Technology Event of 2021.

From the 1st to the 4th of November 2021, Web Summit‘s famous technology conference will occur in Lisbon for the first time in five years. At a moment of enormous uncertainty for many businesses, as a result of the pandemic, Web Summit brings together: founders and CEOs of technological firms, fast-growing startups, politicians, and leaders of the state to address a simple question: Where to next?

Through covering people who are confronting the industry’s key issues today, this company’s stages have included a wide variety of subjects; from deep tech and data science to design and environmental sustainability. According to KPMG, “in three days, Web Summit created new contacts and acquired strong leads that turn into important commercial relationships.” All of this contributed to Forbes declaring the “Web Summit to be the best technology conference in the world.”

In response to the health dangers posed by the coronavirus epidemic, the program held its first entirely digital edition. However, the 2021 Web Summit will return to Lisbon in the Altice Arena, welcoming over 100,000 industry people for business and knowledge transfer for four days. Over 1,100 speakers will share their thoughts on the Web Summit stages, ranging from the CEOs of some of the largest technology corporations to the founders of forward-thinking start-ups.

The personalities of the Web Summit

Brad Smith, President of Microsoft

Brad Smith: American attorney, and current President of Microsoft.

Brad Smith is the current President of Microsoft. An American Attorney, who after graduation joined the legal firm Covington & Burling in Washington, D.C. in 1986. He had one requirement for the job: he owned his own computer. He was the first in the business to have one, which ran Microsoft Word version 1.0. Smith spent three years in Washington, D.C., and four years in London, where he ran Covington’s software practice. He had become a partner by 1993.

Smith joined Microsoft in 1993. For three years he led its Legal and Corporate Affairs team in Europe, then five years as deputy general counsel, from 2002 onwards. Smith was promoted to president and chief legal officer of Microsoft in 2015, in this position Smith was responsible for Microsoft’s corporate, external, and legal affairs, whilst also being the firm’s chief compliance officer. Smith announced the establishment of Microsoft Philanthropies, a department of the corporation committed to contributing money and services to the public good, three months into his new role. In the two years afterward, Microsoft Philanthropies has given tens of millions of dollars in grants to education and refugee groups, as well as hundreds of millions of dollars in Microsoft Azure cloud computing services to charities and researchers.

Jim Lanzone, CEO of Tinder

Jim Lanzone- American businessman and former CEO of CBS Interactive and founder of Tinder.

Jim Lanzone is the current CEO of Tinder. His background speaks for itself: he is the former Corporation Chief Digital Officer and President of CBS Interactive, which is a top ten consumer Internet property with over 300 million users worldwide. This company is one of the world’s largest digital media companies (now the digital secondary of ViacomCBS).

As CEO of Tinder, Lanzone has contributed to the most popular app for meeting new people in the world. Tinder has been downloaded over 400 million times and is accessible in 190 countries and 40 languages. Tinder has over 6.2 million paying customers as of 2020 and is the highest-grossing non-gaming app in the world.

Tinder creates a user profile using images that have previously been submitted to Facebook. Basic information is acquired, and the social graphs of the users are examined. Candidates that are most likely to be compatible based on geographical proximity, a large number of mutual acquaintances, and shared hobbies are filtered into a list of matches. The software allows the user to anonymously like another person by swiping right or pass by swiping left based on the findings of potential prospects.

Ro Khanna, Internet Bill of Rights

Ro Khanna: An American politician and working for the Digital Bill of Rights.

Ro Khanna is a politician, lawyer, and scholar who now serves as the United States Representative for California’s 17th congressional district. President Barack Obama nominated him as deputy assistant secretary of the United States Department of Commerce in 2009. Khanna made international trade visits and attempted to increase US exports in that role. This resulted in him being appointed to the White House Business Council.

The Endless Frontier Act, co-sponsored by Khanna, and others is a significant increase in research funding that will help to establish technology hubs around the country. This legislation was crucial in making it easier for companies to give apprenticeships to soldiers, since it was adopted by both the House and Senate and signed into law by President Trump on November 21, 2017. In addition to this, Khanna also put forward the Internet bill of rights.

According to Khanna, the Founding Fathers regarded people’s right to privacy over their “persons, homes, papers, and assets” as a vital component of democracy Hence, as society has been becoming more digital, the same precautions should apply to our online actions.

He feels our laws have been pushed far beyond our technological capabilities, resulting in widespread breaches of our civil liberties. As a result, Khanna proposed six principles for an internet bill of rights, including the right to universal web access, internet privacy, the right to be free of unlawful data collection, the right to expose the amount, nature, and dates of secret government data requests, the right to be fully informed of the framework of data use, and the right to be informed of any change in control over data. Khanna feels that this will be critical in restricting the National Security Agency’s (NSA) reach and in guaranteeing the future safety of the American internet world.

Tom Taylor, Amazon Alexa’s Head

Tom Taylor: Amazon Alexa and Echos.

Amazon Alexa and Echo teams are led by Tom Taylor. He is in charge of over 10,000 engineers, scientists, product, business, operations, and sales professionals who are creating on behalf of consumers in order to deliver Alexa, the cloud-based voice service, to tens of millions of Amazon and third-party device makers’ devices.

Tom began his career with Amazon in 2000 as the Director of Operations For US Fulfillment Centers. Since then, he has handled a variety of positions within the firm, including developing and expanding the Fulfillment by Amazon (FBA) programme. As Senior Vice President, Amazon Seller Services, he was in charge of Amazon Payments, Transactional Risk Management, and Fulfillment by Amazon. Before joining Amazon, Tom worked for General Motors and K2 Sports for 15 years in Manufacturing and Plant Management.

And these are only the beginning in a live conference packed with big names. Along the four days, names such as FC Barcelona star Gerard Pique, Founder & President at Kosmos; Jen Wong, COO at Reddit; Margrethe Vestager, EVP: A Europe Fit for the Digital Age at European Commission; António Costa, Prime Minister at Government of Portugal will be others that will participate in the event.

We live in uncertain times for tech and business and Web Summit is trying to shed some light on tech advancements by bringing together major players in the industry. “At Web Summit, we welcome the people who are tackling the big challenges facing industry today. Our tracks cover topics ranging from deep tech and data science, to design and environmental sustainability. KPMG said that “In three days, we made new contacts and collected solid leads that convert into valuable business relationships,” the organizers said.

A unpredictable, widespread has brought businesses to home-working which would  have brought businesses to a grinding stop with large investments in cloud computing which haven’t been done since over the last ten years, says GlobalData, a leading data and analytics company.

Global Data’s latest report, COVID-19 Impact on Cloud Services, shows that the investment could now pay an unexpected division by transforming the way some businesses operate. Since mid-March 2020, cloud-based services for remote workers have kept much of the world working, forcing organizations that were previously opposed to remote working to embrace the idea.

GlobalData predicts that the cloud services market will be worth $661bn by 2024, having grown at a compound annual growth rate (CAGR) of 19% between 2019 and 2024.

David Bicknell, Principal Analyst in the Thematic Research Team at GlobalData, commented: “The shift to remote working caused by the pandemic has left offices empty and pushed companies to rely on technology to keep their operations running. Cloud services suppliers have had to step up and bear the brunt of a transformed business landscape.

“The home-working genie is now out of the bottle. The rush-to-remote is now driving change in the way businesses operate. Companies that would scarcely have countenanced the idea of their employees working from home have been forced to rethink their opposition and sanction the use of cloud-based tools like Slack and Zoom for collaboration.”

GlobalData’s Cloud Services scorecard show that companies are likely to enhance their position in cloud services over the next year include hyper-scale infrastructure as a service (IaaS) providers such as Amazon, Microsoft, Google, Alibaba and IBM; cloud-based collaboration and application providers; telecom operators providing cloud services; cloud connectivity partners; and colocation data centers.

Bicknell continues by saying: “The COVID-19 crisis has highlighted several examples of processes that can be digitised and virtualised. Google has told job seekers it will conduct all interviews virtually via Google Hangouts for the foreseeable future. Corporate video conferencing is enabling both legal and medical case discussions, while telemedicine is being used to provide COVID-19 remote diagnosis and treatment.

“The necessary wider move to cloud will now pose questions for organizations over their future consumption of IT resources. Some may already have concluded that, if they can run virtually now, why can’t they do it permanently?

Millions of sensitive data tracks lose could eventually lead top-earning tech companies on average to lose $174 (£141) million per day, according to records;a following new report displays that there could be financial impact of severe and catastrophic data breaches on top companies and social media platforms. Apple could lose a lurch $83 billion per month, whilst Microsoft could have a massive drop in value of $2.3 billion per week. Businesses should prioritise security training for all staff, keeping software up to date and carefully control who can access sensitive data, says expert.

New research, published by cloud solutions company iomart, analyses the financial impact of typical, severe and catastrophic data breaches to reveal what each could cost top companies and social media platforms.

The typical loss for a large company is between 10 and 99 million records per incident, resulting in an average company value drop of 7.27%.

The amount a business stands to lose depends on how long it takes them to identify and then contain a breach, which correlates to the number of records stolen – as outlined by IBM’s study on the cost of a data breach.

For companies in the tech sector it took an average of 187 days to identify and a further 59 days to contain a breach. This equates to an average potential loss of $42.9 (£34.4) billion for the highest-earning tech companies per incident.

When looking at how data breaches could impact major tech companies, Apple has the most to lose with an estimated company value drop of $95.7 (£80.9) billion following a typical breach, while Microsoft could lose $81.6 (£68.9) billion, and Amazon could lose $68.7 (£55) billion.

If these tech companies infringed GDPR guidelines and incurred the maximum fine of 4% of a company’s annual global turnover, Apple would lose a further $2.56 (£2.05) billion and Microsoft an additional $1.34 (£1.07) billion, resulting in a total breach cost of $98.3 (£78.8) billion and $82.9 (£66.5) billion respectively.

The costly fines imposed by GDPR and the projected rise of data breaches make it more important than ever to invest in data protection, particularly for smaller tech companies and startups which cannot stand to lose up to 10% of their market value.

Bill Strain, Product Development Director at iomart, comments on the findings: “These figures are a stark warning about the importance of investing in data protection. Many smaller businesses wouldn’t survive the operational impact of a successful cyber-attack, let alone the financial one of a punishing fine on top.

“Looking at your potential risk and knowing where your data is, controlling who has access to it, and making sure it’s secure should be an absolute priority.

“It’s still the case that most cyber-attacks start by exploiting our human vulnerability. By training staff to spot suspicious emails or links you can lock the front door and then use technological solutions to ensure the hackers can’t get in around the back.”

Iomart also offers some top tips on how businesses can create an effective defence against such an attack:

  • Keep IT systems and software up-to-date
  • Store sensitive data separately
  • Control users’ access and privileges
  • Secure the email gateway
  • Do regular off-site backups of your data
  • Provide regular security training for all staff

What New, Business-Friendly Features Is Microsoft Bringing To SharePoint And OneDrive?

If your business is entrenched in the Microsoft Office 365 ecosystem, then two software tools it probably uses particularly often are the collaborative platform SharePoint and the cloud storage service OneDrive – perhaps on account of the raft of new features that both regularly receive.

Well, there’s good news for SharePoint and OneDrive users: Microsoft recently unveiled yet more fresh additions and tweaks for these services at its SharePoint Conference 2019 in Las Vegas.

SharePoint Home Sites

If you regularly use SharePoint to keep track of what everyone else in the business is doing at any given time, then you could feel reassured by the recent announcement of SharePoint Home Sites.

This feature, announced at Microsoft’s yearly SharePoint Conference in May, promises what Microsoft has dubbed “employee experience[s]” tying into the mega-menu in SharePoint intranet portals, as VentureBeat explains.

Each of the Home Sites is a landing page that you will see on the home view of SharePoint, whether you are using this platform’s desktop or mobile app version. To each landing page, employees can share internal materials like articles and videos, as well as comments on such.

Exactly what any particular employee will be able to post to a SharePoint Home Site will depend on what role or permissions you have assigned to them. However, official news posted to these pages will be visually marked as such and syndicated to all users permitted to access it.

As for that “mega-menu” mentioned earlier – while you might have recalled it as SharePoint Home, it’s now known as the SharePoint Start Page and has been bulked up to include enhanced navigation, document views and saved content, along with activity insights spanning sites.

With just one click, you can activate Microsoft Search through a search bar, allowing you to sift through data to effectively trace files, contacts, conversations, tools and other valuable resources.

All of these features look set to make an already formidable intranet solution even better. Therefore, it’s reassuring that, even if your particular business is late to the SharePoint party, it can still easily catch up by allowing for the implementation of Office 365 intranet by AddIn365.

Differential sync for OneDrive

If your business often stores Office 2016 files in Microsoft’s cloud storage solution OneDrive, you have probably come to hugely appreciate the option of differential syncing. This is where you can sync only parts of files that have been changed from the previously cloud-saved version, rather than entire files. As a result, organisations can save time on uploading data, notes TechRadar.

However, differential sync could only be used for Office 2016 files stored in the business version of OneDrive. Fortunately, Microsoft has revealed that differential sync will, later this year, become available for all file types in OneDrive.

Meanwhile, it’s now possible to use OneDrive’s web version to preview more than 320 file types – even right through to 360-degree images and AutoCAD DWG files. This means that your employees could use OneDrive to add notes to any of these file types.
